Terms and Conditions Agreement *
1. Engagement and Responsibilities The Organizer invites the Speaker to present at the Clinical Sports Pharmacy Summit (“Event”) taking place on Friday, April 16th – Saturday, April 17th at 416 NE 1st St, Fort Lauderdale, FL. The Speaker agrees to prepare and deliver a presentation titled above (“Presentation”) at the agreed-upon day, time, and format, as determined by the Organizer. 2. Compensation The Speaker will receive a one-time honorarium or agreed-upon compensation of $200 (“Compensation”) and lodging/travel covered during the event. All speakers will receive complimentary registration for the Summit, including access to both days of presentations, networking events, and sponsored sessions. The Speaker acknowledges that no additional royalties, profits, or compensation will be provided for the use, distribution, or archival of the Presentation beyond the agreed upon Compensation. 2.1 Travel and Airfare Reimbursement Policy: Standard economy will be reimbursed at the standard economy fare level. Upgrades beyond economy may be arranged at the speaker’s discretion. Requests for premium seating may be approved at the discretion of the organization. To ensure reasonable fare pricing, airline tickets should be booked no later than 45 days prior to the event. Any fare differences resulting from bookings made after this period are up to the discretion of the organization to approve. 2.2 Hotel and Lodging Policy: The organization will cover up to one night of lodging, not to exceed $225 (inclusive of taxes and fees). Accommodation should be booked for a standard room with one queen or king bed. Any room upgrades, additional nights, or incidental expenses (e.g., room service, minibar, movies, valet parking) will be the responsibility of the traveler unless pre-approved in writing by the organization. Please submit all reimbursement requests and itemized receipts to hello@sportsrxnetwork.com. Reimbursements will be issued within 7–10 business days after receipt of a complete submission. Incomplete submissions (e.g., missing receipts or forms) may delay processing. 3. Recording and Use of Presentation The Organizer may record the Presentation in video, audio, or written formats (“Recordings”). The Organizer is granted the non-exclusive, perpetual right to use, reproduce, distribute, and display the Recordings for educational, promotional, and resource purposes through the Sports Pharmacy Network’s platforms and associated resources. The Speaker waives any right to review, approve, or claim ownership over the Recordings. The Speaker consents to the Organizer’s use of their image and video footage of them presenting for promotional content across various platforms. 4. Intellectual Property and Content Standards The Speaker may use their own slide design for the Presentation, provided it is clean and professional. The Speaker must include clear and measurable objectives within their Presentation to align with the Event’s educational goals. The Speaker affirms that the Presentation materials, including slides and handouts, are original and do not infringe upon any third-party 1 intellectual property rights. The Speaker further assures that no portion of the content is plagiarized or violates copyright laws. The Speaker assumes full responsibility for any claims arising from the use of nonoriginal or improperly attributed content in their Presentation. The Speaker retains ownership of the original content of their Presentation but grants the Organizer a perpetual, royalty-free license to use the materials as outlined in this Agreement. 5. Speaker Obligations The Speaker agrees to submit all required materials (e.g., slides, handouts) by 1/10/27 in the format requested by the Organizer. The Speaker will disclose any conflicts of interest or financial relationships related to the subject matter of the Presentation in Appendix A. The Speaker consents to having their name, biography, photo, and professional information used in promotional materials for the Event. Failure to submit all required materials by the stated deadline may result in forfeiture of the Speaker’s compensation and/or removal from the Event program. Timely submission is necessary to meet accreditation and continuing education requirements, and exceptions cannot be guaranteed. 6. Promotion and Collaboration: As a valued member of the Summit program, the Organizer kindly requests that the Speaker help promote the Event by sharing Summit announcements, graphics, or registration links through their professional networks and social media platforms. Collaborative promotion enhances visibility, encourages interdisciplinary engagement, and strengthens the collective impact of the Sports Pharmacy Network community. 7. Event Cancellation The Organizer reserves the right to cancel or reschedule the Event. In such cases, the Organizer will provide written notice to the Speaker as soon as possible. 8. Indemnification The Speaker agrees to indemnify and hold harmless the Organizer, its affiliates, and employees from any claims, liabilities, or expenses arising out of the Speaker’s breach of this Agreement. 9. Governing Law This Agreement shall be governed by and construed in accordance with the laws of the State of Florida. 10. Entire Agreement This Agreement constitutes the entire agreement between the parties and supersedes all prior communications, understandings, or agreements, whether written or oral. 11. Signatures By signing below, the parties acknowledge that they have read, understood, and agreed to the terms of this Agreement.
